Privacy Policy

1. Who we are

This website is run by SHADI DRESS LTD, a company registered in England and Wales (company number 13575350), registered office 5 Eighth Avenue, London, E12 5JN, United Kingdom (“Shadi Dress”, “we”, “us”). We are the controller of the personal data described in this policy. Contact: info@shadidress.co.uk.

This policy covers shadidress.co.uk, shadidress.com, shadidress.ca, shadidress.de and shadidress.fr, and our WhatsApp sales lines.

2. What we collect

  • Order and account details: name, billing and delivery address, email, phone number, measurements and order notes, order history.
  • Payment: payments are handled by our payment providers (for example PayPal). We do not see or store your full card details.
  • WhatsApp conversations: when you message us on WhatsApp we receive your WhatsApp phone number, profile name and the messages, photos and files you send, together with our replies.
  • Website use: pages visited, device and browser type, approximate location from your IP address, and cookies (see section 8).

3. Why we use it (and our legal basis)

  • To take, make, deliver and support your order, and to answer your questions on WhatsApp or email — performing a contract or steps before one.
  • To keep records of enquiries and match them to orders, so we can follow up on delivery dates and measure which channels bring customers — our legitimate interests in running and improving our business.
  • To keep accounting and tax records — legal obligation.
  • Marketing emails only if you agreed — consent, which you can withdraw at any time.

4. WhatsApp

Our WhatsApp numbers use WhatsApp Business, provided by Meta (WhatsApp Ireland Limited / Meta Platforms). Messages you send us are processed by Meta under the WhatsApp Business terms. We store a copy of our conversations and your number in our own order system on our website server so our sales team can answer you and track your order. We use automated tools, including AI assistants working on our behalf, to read these records only to summarise enquiries, match them to orders and report on sales. We do not sell your number or messages, and we do not use them to send you unsolicited marketing.

5. Who we share it with

Only with service providers who help us run the business: payment providers, couriers and delivery partners, our website hosting provider, Meta (WhatsApp), Google (analytics and Search Console), and our own production team. Each receives only what it needs. We may share data if the law requires it.

6. International transfers

Our dresses are made by our own team in Pakistan, and some providers above operate outside the UK. Where personal data is sent outside the UK or EEA, we use appropriate safeguards such as the UK International Data Transfer Addendum or Standard Contractual Clauses, and share only what is needed to make and deliver your order.

7. How long we keep it

  • Order and accounting records: 6 years after the end of the financial year, as UK law requires.
  • WhatsApp enquiries and conversation records: up to 24 months after your last message, then deleted or anonymised.
  • Analytics data: as set in our analytics settings (no longer than 26 months).

8. Cookies

We use cookies that are needed for the shop and basket to work, and analytics cookies to understand how the site is used. You can block or delete cookies in your browser settings.

9. Your rights

You can ask us for a copy of your data, to correct it, to delete it, to restrict or object to its use, or to move it to another provider. Under UK GDPR and EU GDPR you also have the right to complain to a data protection authority — in the UK the Information Commissioner’s Office (ico.org.uk), or the authority in your own country.

10. How to delete your data

Email info@shadidress.co.uk or send us a WhatsApp message saying “Delete my data”, with the phone number or email you used. We will delete your enquiries and WhatsApp conversation records within 30 days and confirm by reply. Order records we must keep for tax purposes are kept until the legal period ends and then deleted.

11. Changes

We may update this policy. The date at the top shows the latest version.
